This week’s edition includes important information I want to share with you:

 

Direct Support Professional (DSP) Shadowing:  The end of the fiscal year is upon us and that means that both DIDD as well as provider agencies are working diligently to “close the books.” Given the increased demand on everyone’s time right now, mandatory job shadowing is being placed on hold until further notice. I would like to thank all of the DIDD staff who have participated to date and the provider agencies who so graciously allowed us the opportunity to shadow and meet new people! We will reinstitute this practice as soon as possible.

 

Waiver Roll-Out Meetings:  Most of you are aware roll-out meetings for the three new Waiver services were held in each region last week. Provider turnout was exceptional and I want to thank those of you who attended and provided feedback during these sessions. Dialog between this department and stakeholders across the state is essential in ensuring a successful flow of information and is especially paramount for persons supported. As indicated during the meetings, the department collected questions from attendees and is currently in the process of organizing responses. Once completed, all questions and answers will be posted to the DIDD website along with meeting materials presented.

Customized Employment:   Last week, Michael Callahan conducted the first series of his Customized Employment trainings which were held at the Vanderbilt Kennedy Center. The department is thrilled to have Mr. Callahan as a Subject Matter Expert to provide Technical Assistance through the Employment First State Leadership Mentor Program (EFSLMP) grant. This series is the first of four trainings that will assist individuals in learning the vital components of Discovery. Additionally, this process will assist professionals that are conducting Discovery to learn more about the person and identify suitable career areas where they can be successful. Participating agencies were the Rochelle Center, SRVS, Workforce, Vocational Rehabilitation, the Vanderbilt Kennedy Center, DIDD and a representative from Williamson County Schools.

Community Conversations:  TennesseeWorks is hosting a Community Conversation in Jackson to brainstorm with people in your community about increasing integrated employment opportunities, helping people with disabilities find and keep jobs and working together to effect meaningful change.  A community conversation is a creative way to meet new people and explore innovative solutions to local issues that matter most. They’ll think collectively about how to utilize strengths, resources and opportunities in Jackson to ensure that our friends and neighbors with disabilities can access meaningful employment opportunities and contribute their gifts in the workplace.

RuthSpotlighting Persons Supported:  Ruth has lived nearly all of her life at Greene Valley Developmental Center and now is preparing to move to Dawn of Hope.  Recently, Ruth’s soon-to-be housemates invited her to join them at the Joy Prom which is held at Grace Fellowship Church in Johnson City.  The Joy Prom was Ruth’s night to shine.  The red carpet is literally rolled out for all attendees!  Guests are announced as they arrive, their photographs are taken by a professional photographer and everyone is treated like a movie star.  A band provided all genres of music for the evening as people visited and danced the night away.   Ruth met some new friends at the prom and was also re-acquainted with a former support staff  which made her very happy.

Office of Incident Management:  The Office of Incident Management has created a new DIDD Incident e-mail address for providers to use when submitting a Reportable Incident Form, as required in Chapter 18 of the Provider Manual.  Effective July 1, providers must e-mail Reportable Incident Forms to DIDD.Incidentmgmt@tn.gov.

 
The DIDD Incident e-mail address on the online version of the Reportable Incident Form will be updated with the new address. Changes to the form will take effect July 1, 2013. CongratulationsCongratulations:  The Arc Davidson County received the Outstanding Local Chapter of the Year award from The Arc Tennessee during the Eleventh Annual Tennessee Disability MegaConference Awards Banquet held May 31 at the Nashville Airport Marriott. The Arc Davidson County was selected for this award due to their renewed commitment to membership and their innovative practices. During 2012, The Arc Davidson County increased their membership by 72% over the previous year.  They also co-sponsored the first Sprout Film Festival in Tennessee and will be holding that event again this year.

 

The Arc Davidson County, under the leadership of Maggie Masimore as President and Sheila Moore as CEO, has reached out to other organizations to partner in a variety of ventures including fundraising, employment and training. Performance Evaluation Process:  By now, most DIDD employees should have a completed first interim review and the second interim review will be due around the end of the month.  Employees, if you have questions or concerns about your SMART job plan, please contact Patricia Malone at Patricia.Malone@tn.gov.  Supervisors, if you are missing templates that you need in Edison, please contact Jerry C. SMART Clinics:  If you are a supervisor who still needs to attend a SMART Clinic, DOHR is hosting clinics as follows:

 

June 18: (8:30 a.m.-11:30 a.m.) or (1:00 p.m.- 4:00 p.m.)
June 25: (8:30 a.m.-11:30 a.m.) or (1:00 p.m.-4:00 p.m.)

These clinics will be held in Training Room 3 in DOHR’s offices at 505 Deaderick Street, Nashville. To register, click here then click on “Strategic Learning Solutions,” then “Registration and Resources,” then “Open S.M.A.R.T. Clinic for June Registration.”  This should get you to the registration link.

 

The department also has the following SMART Clinics scheduled:

 

June 20: Middle Tennessee Regional Office (8:30 a.m. to 11:30 a.m.)
June 21: Greene Valley (9:30 a.m. to 12:30 p.m.) or (1:30 p.m. to 4:30 p.m.)

DIDD Training Update:  Department employees are getting a look at our new web training as the bulk download of staff into the new Relias/Essential Learning system continues.  There are 118 provider agencies that have completed their bulk download of active staff into the Elevate platform and received Launch materials to help introduce learners to the new web training platform.  If your agency has not received learner spreadsheets, please click here for a blank form.  All learners are assigned a “Welcome to Elevate” course that is a prerequisite to all other training (required and elective), which orients the learners to the new system.  College of Direct Support access will end on Friday, June 21 so everyone who would like a copy of their CDS training is encouraged to print a transcript by logging in at www.collegeofdirectsupport.com/TN.  On the Personal Page (home tab) scroll down to Reports and choose the grey “View” button next to “My Transcript – All Training.”  A new window will open and there is a drop-down menu next to “Status.” Choose “Current and Archived” from the drop-down menu and scroll to the right to access the “Go” button.  Click the “Go” button to display all the training then click the printer icon above the “Go” button and follow the prompts for printing. If an error screen appears, simply repeat the “status change, go, and print” steps and a copy of the training should appear in the print window.

 

Relias Learning has been conducting a variety of webinar trainings each week in May and June and has scheduled the following training opportunities for next week:

Relias has announced there will be a system upgrade, so the Tennessee Elevate site will be down the weekend of June 22 and 23.  Once the system has upgraded on June 24, there will be a new look.  Click here for a sample letter that can be used to introduce learners to the changes they will see June 24.  All training administrators for sub-portal agencies are encouraged to click the “New Features” tab visible on the administrator home page for important information.  Administrators are invited to attend a live demonstration of the new Relias LMS improvements.  Each webinar will cover the same topics and are scheduled for your convenience.  Dates and times are listed with a registration link in the letter on the “New Features” tab on the administrator home page. 

 

Greeneville Focus Group:  The next focus group meeting is June 18 from 12:00 p.m.-2:00 p.m at Greene County Skills (Conference Room).  During the groups, participants assist one another in learning how to effectively express feelings and desires in an effort to enhance their quality of life.  Local community resources will be the focal point for informational discussion.
