Tennessee's State Records Center is the only facility in the State
authorized as a storage facility for inactive records. The facility is
secured with both fire and burglar alarm systems and is available for
use by all State agencies. Currently, the facility capacity is 102,312
cubic feet of records in various media forms. The driving force of the
facility is its dedicated staff and a computerized system that
provides instant records location and storage information. Some of the
services provided by the center are:
Records Storage and
Disposal
Herbert Hobson, Supervisor
Herbert.Hobson@state.tn.us
The State Records Center provides a low-cost storage facility for
inactive records and provides this service to all agencies. The
Records Center will accept the transfer and storage of agency records
if a related Records Disposition Authorization (RDA) has been
approved.
The Records Center will dispose of agencies records once the
established retention time for the records has expired and there are
no pending legal actions or audits. Under normal circumstances, once
an agency transfers their records to the Records Center, they will
never have to handle them again.
Records Retrieval
Herbert Hobson, Supervisor
Herbert.Hobson@state.tn.us
Agency records stored at the Records Center may be retrieved by the
agency records officer or designated agency personnel. Records can be
retrieved from the Center within 24 business hours. In the event of an
emergency, the records can be retrieved within one hour, depending on
the volume.
