The Records Management Division offers micrographic services to all
State agencies. The primary purpose in offering micrographic services
is to provide another tool to minimize costs of records storage,
maintenance and retrieval. The services available are source document
microfilming, microfilm processing and duplicating, storage and
periodic inspection of all types of microforms, assistance in or
coordination of document preparation and technical consultation.
- Source Document
Microfilm
- Source document microfilming refers to the conversion of paper
documents to microfilm. The Records Management Division produces
archival quality silver-16mm-roll microfilm from State agencies'
source documents. Rotary cameras are used for high-speed filming,
image indexing, and 2 sided documents. Documents in poor condition
are filmed using a planetary camera to avoid damage to the source
documents and loss of information.
- Microfilm Processing
and Duplication
- State agencies may utilize the microfilm processing services
available for 16mm and 35mm silver-gelatin polyester-base film. The
Division also provides silver-gelatin polyester-base and diazo
duplication for 16mm and 35mm.
- Quality Control
Microfilm Inspection
- All microfilm produced by the Records Management Division is
inspected for quality control standards such as density, resolution
and legibility. In addition, methylene blue testing is conducted
periodically to check for residue which might impair the performance
of microfilm. Finally, all film stored at the Records Center is
periodically inspected to ensure longevity.
- Technical Assistance
and Consultation
- The Records Management Division offers technical assistance and
consultation services regarding micrographics or document
preparation.
