Glossary of Postal Terms

BAR CODE A series of vertical bars and half bars representing numerical info (ex. Zip code) that facilitates sorters and scanners in swift processing by automation

BAR CODE READ
AREA

The clear zone on the bottom right of a mail piece where the bar code is applied. This area must remain free of any printing, logos, etc. which may interfere with the application –or– reading of the bar code

BAR CODE SLIP

AKA “Buck Slip” or “Postage Slip” Form #GS-0848, issued by State Postal Services that must accompany mail-to-be-metered, bearing the barcode assigned to a specific allotment code and cost center

DISPATCH

Mail sorted and loaded for transportation

ENDORSEMENT

Handwriting or hand stamping on a mail piece, which designates class (FIRST) or handling (FRAGILE)

FLAT MAIL

Generally describes manila/kraft envelopes (varied sizes)
“WHITE” MAIL Refers to letter mail

GURNEY

AKA “Hamper” “Cart” “Basket” or “Buggy” Canvas container used for hauling and distributing U.S. Mail

MACHINE
READABLE

Mechanically reproduced addresses that may be read by automated equipment

METERED
MAIL

Any class of mail with postage printed by a U.S. Postal approved meter

MISCODED/
MISZIPPED

Mail with an incorrect zip code as part of the delivery address

NONMAILABLE

A mail piece unacceptable in the U.S. Mail (design problem such as too small)

NONREADABLE
MAIL

AKA “Rejects” Mail that cannot be read by automated sorting equipment (font or color of background)

NON STANDARD
MAIL

A piece of First Class mail or Standard A single piece rate mail weighing 1 oz or less that exceeds specified size limits; surcharge per piece is 13 cents
  • length exceeds 11 1/2 inches
  • height exceeds 6 1/8 inches
  • thickness exceeds 1/4 inch
  • its aspect ratio (length divided by height) does not fall between 1 to 1.3 and 1 to 2.5 inclusive

PERMIT MAIL

Mail with printed indicia instead of a stamp, showing that the sender has paid postage

POSTAGE DUE MAIL

AKA “Short Paid” Mail with insufficient postage, requiring fee collection, prior to final delivery

DMM

Domestic Mail Manual
Policies and Procedures manual of the United States Postal Service containing operational procedures, postage rates, special services, mail classifications, mail preparation requirements, etc.

IMM

International Mail Manual
Policies and Procedures manual of the United States Postal Service containing classification regulations, postage rates and requirements for mailing between the U.S. and other countries
